Our new Finance System

After a robust tender process, a new finance system was chosen, and that system is Workday.

  • Workday is a leading provider of cloud applications for finance and is used in Universities across the world. 
  • Workday will provide one central financial system for the entire UCD community.
  • Updating our system will enable us to modernise the experience of our staff, and students.
  • Workday is built via cloud architecture, meaning that new features are released on an ongoing basis with minimal disruption.

In addition to the introduction of a new system, FinPOST aims to create a better experience for the whole UCD Community via the transformation of both finance services and ways of working. At a high level, the processes in scope for change are grouped into the following categories. 

  1. Buying, Expenses, Payments
  2. Collecting income, managing & invoicing customers
  3. Management Information and Financial Planning
  4. Research Projects and Capital Assets

1. Buying, Expenses and Payments

FinPOST will transform how we

  • Buy and receipt goods and services
  • Process invoices and make payments
  • Set up and manage suppliers
  • Handle scholarships and ad hoc payments
  • Meet our internal and external reporting requirements in these areas
  • Manage staff expenses
Key Changes 

Staff expenses

  • Moving to a truly digital experience, mobile enabled for ‘on the go’ access
  • Easy upload of expense claims and supporting docs
  • Quick approval process for expense claims
  • No more online excel forms!

Improved Supplier management and Visibility 

  • Clear visibility of what suppliers are currently available and what goods / services they provide
  • Tendered, contracted suppliers are highlighted (ensuring compliant spending) with UCD policies linked in the system
  • We say goodbye to eProcurement!

Interactive Dashboards 

  • Access to customisable dashboards which prompt actions for you to complete based on your role (e.g. notification of expenses that need approval).

2. Collecting Income, Managing and Invoicing Customers

FinPOST will transform how we
  • Manage income collection for the University across our various income sources (including educational income and income from research and state bodies)
  • Manage our existing University customers and set up new customers
  • Generate invoices
  • Generate refunds

Key Changes   

Income Management 

  • We will have one, central place to view all of our income  receipts, instead of data being housed in multiple systems
  • We will have access to enhanced reporting for our income sources and our debt sources too
  • We will say goodbye to eFinancials, with financial reporting now moving to Workday!

Student Self-Service 

  • A way for students to view and manage their fees and other associated UCD costs in one single place will be introduced

3. Management Information and Financial Planning

FinPOST will transform how we

  • Collect and process our financial data
  • Produce the University's financial reports
  • Enable pertinent financial information via Workday, giving access to meaningful and timely reporting
  • Support financial planning
  • Support enhanced compliance and controls in financial processes
Key Changes 

Reporting

  • ‘One source of the truth’, our financial data is produced from one system, instead of multiple sources. 
  • Self service reporting, relevant data is available for you when you need it via your own Workday account.

Planning

  • Financial planning and analysis becomes easier, with transaction and spending information becoming more accessible. If you are a budget holder or have access to a cost centre, it will be easier for you to track your spending versus.
  • Financial insights available via Workday reporting, making it easier, for example, for College Principals to plan and forecast for their Colleges.

4. Research Projects

FinPOST will transform how we
  • Track and account for fixed assets
  • Monitor and report on research and other projects
  • Check eligible expenditure on research projects

Key Changes   

Research Projects

  • Project budgets will be held at a greater level of detail in Workday than eFinancials, which will allow it to check that expenditure is within budget and in an approved spend category when you raise the requisition.
  • Workday will include modern reporting tools that allow you to view the spend and  budgets of your project and let you “drill down” to the underlying transactions.

Assets

  • Workday will include a Fixed asset register that is integrated with the purchasing system, so that when you purchase an asset it is automatically tracked
