Further to a recent upgrade, HR is now able to make UCD’s employee reporting structure (organisational structure) available via the CoreHR system. This means for every permanent and temporary employee, the manager to whom they report is now available. This enables the publication of team structure information for all schools & units, allowing access to employee “Reports To” structure. In addition, an interactive employee organisation chart is also available in ESS. The recording of organisational structure lays a foundation for future process improvements.
Keeping the Organisational Structure up-to-date
Over the summer of 2020, an initial validation of the org structure was completed by schools and units and was loaded into the HR system. A ‘bedding-in’ period follows from September 2020 where people managers will be asked to validate their “teams” which are referred to in CoreHR as “Work Groups”.
Most changes to an employee’s workgroup will occur when they change role and this will be captured during the recruitment process (Online Hiring Forms). There is also the facility to request an update to an employee workgroup via a change in Work Group request form, available in (opens in a new window)InfoHub (Human Resources > Resourcing > Hiring & Employee Changes).
Interactive Org Structure Chart ESS
- To access the org chart (opens in a new window)login into ESS and in the search bar at the top search for “Org Chart”
- Select the Org Chart module by clicking it
- The default Org chart opens with your own entry on the org chart. From there you can navigate up and down and across the tree
- A search facility is also available on the left-hand corner
Work Groups and CoreTime
Work Groups in the CoreHR system were previously only ever used for parts of UCD that operated Flexi-time. Now, all permanent and temporary employees are in new Work Groups based on the organisation employee reporting structure.
To request a new PI work group you should forward the PI's name and Personnel Number to the HR Helpdesk. To request a new general work group for a School or Unit (to manage Core funded employees) you should forward the proposed new work group name to the HR Helpdesk.

We understand that in a large organisation such as UCD an individual can have more than one direct line manager . The UCD CoreHR system, only facilitates one line manager to be assigned to each employee. We are in discussion with the vendor and hope to be able to accommodate joint reporting lines in future versions of the system.

Unfortunately, this functionality is not currently available directly from the system. You can,however, download the data extract from the staff management reports (InfoHub) and use the Data visualiser plug-in for Microsoft Excel to create printable org charts. We are in discussion with the vendor and hope to be able to accommodate this in future versions of the system.

Our HR system uses 'Work Groups' to identify teams / groups that report to the same manager. A line manager is then assigned to the work group. Usually, most staff are all in the same workgroup, however, Research funded staff are belong to their own work group.
