InfoHub

UCD's staff services portal, enabling UCD staff to manage information about their students, research, human resources and finances.

About InfoHub

InfoHub is UCD's central administrative portal, where staff can manage information relating to students, research, human resources and finance. It offers:

  • A single entry point for accessing data from various business applications across the university.
  • Consistent format reporting from multiple UCD systems.
  • Role and service-based access: access to reports is granted via Infohub services. Related services are often grouped together info InfoHub roles. A job role may comprise two or more InfoHub roles.
  • Access duration: roles do not have an end date. Individual service accesses expire after one year and the Service Approver will receive a notification to extend the access 4 weeks before expiry. 
  • Workflows to replace paper-based forms, including pulling information from other systems.
  • Custom tools to help staff complete specific tasks e.g. bulk email.

InfoHub is an access-based online portal. It is provided and supported by the Enterprise Applications Group (EAG) within UCD IT Services. The student equivalent is called SISweb.

Your InfoHub access is always based on business needs, and complying with UCD's data security and privacy obligations.

InfoHub FAQ

InfoHub is a staff portal containing a wide range of services and reports where UCD staff manage their Students, Research, Human Resources and Finances information. InfoHub access is always based on business needs, and requires approval to comply with UCD's data security and privacy obligations.

Everyone's My Profile on InfoHub has a panel called Systems and Information I have access to, where staff can view their accesses and the owner of the relevant service or report. To learn which access you require:

  1. Check which InfoHub roles and services you will require with your line manager. 
    Tip: They may need to source this information from a Colleague who already has access (by checking their ‘Systems and Information I have access to')
  2. Your line manager should then request the required access(s) from the listed business owner(s). Please note that they may need to send different requests, as access must be requested from the Business Owners. They should provide:
    • Your Personnel (P) number
    • Report Title
    • Report Query/Code
    • Location of the report in Infohub

InfoHub is an access-based system. If you are a UCD staff member and do not see a report in InfoHub, typically this means an access request requiring approval is needed. These are granted by the business owner (Service Provider), based on business need.

  1. Check with your manager/a colleague who has this view to confirm which access(es) you are missing. 
    Tip: they can find this by viewing My Profile on InfoHub and comparing their roles and services with yours.

  2. Your line manager should contact the report Service Provider directly as listed on screen, to request your access.

  3. If a Service Provider is not listed, your line manager should log a ticket via the (opens in a new window)Get Help connector on the UCD IT Support Hub and request the missing access(es).  They should provide:
    • Your Personnel (P) number
    • Report Title
    • Report Code
    • Location of the report in Infohub

Your InfoHub access may have changed for a couple of reasons: 

  • Service overrides on InfoHub usually last for one year, after which time they expire and access must be re-requested.
  • If you recently moved roles, services may have been deactivated. These measures protect university data and ensure the right people access data only for as long as required. 

To check your access: 

  1. Check My Profile on InfoHub: this will display current and expired roles and services, in a panel called Systems and Information I have access to. Roles don't generally expire but if a service is listed as expired, your line manager should re-request your access. 

  2. Your line manager should contact the report Service Provider directly if they are listed on screen, to request your access.

  3. Otherwise, your line manager should log a ticket via the (opens in a new window)Get Help connector on the UCD IT Support Hub and request the missing access(es).

This depends on the support you need:

  • InfoHub access requests must be submitted by your line manager to the appropriate data owner (the Service Provider): see the info above

  • To report an issue with InfoHub, please log a ticket with the IT Helpdesk: ucd.ie/ithelp
    Please include: 
    • Report Title
    • Report Code
    • Location of the report in Infohub
    • A description of the issue
    • A screenshot, if possible

  • To request a change or new report on InfoHub: these follow the UCD IT Planning process and must be submitted as an Enhancement Request or new IT project by your unit's IT Liaison. Please discuss with your Unit Head/IT Liaison.

The 'My Favourites' panel on the InfoHub is customisable. It allows you to save time by adding frequently accessed reports and services to your InfoHub homepage.

How: Each menu option in InfoHub has a little star below it. Simply select the star to add that option to your homepage, and select the star again to remove it.
