Options for sending bulk emails at UCD: Targeted Communications and Mailjet

Two services are available for UCD staff to send group emails:

  • For internal communications and other emails to groups of internal UCD users, Targeted Communicationsin InfoHub is the supported option to email groups of staff and students. 

  • Emails to external i.e. non-UCD recipients, Mailjet is an email marketing platform available for externally-facing marketing and communications by staff, on request
  • In some cases, using Gmailmay also be appropriate: it has an easy (opens in a new window)mail merge feature. Gmail also has a (opens in a new window)Layouts option, with which you can create and send nicely formatted communications like newsletters and announcements. However, this mail merge option in Gmail should not be used as an alternative to Targeted Communications.  It is suitable for limited use cases, normally involving emails to external partners.

Targeted Communications (InfoHub)

The Targeted Communications System in InfoHub provides a method for UCD staff to send internal email communications.  This is a tool created and maintained by UCD IT Services that allows staff members to securely send HTML emails to selected groups of UCD students and staff. Access is granted via InfoHub.

Important: This email system should only be used for emails relating to university business. No external parties should be given access or messages forwarded on their behalf.

Mailjet

Mailjet is available to UCD staff on request, for sending emails to external accounts, such as newsletters and announcements. 

Mailjet is an online platform for designing and sending email marketing campaigns, newsletters, and automated emails. It has easy-to-use email editor to design responsive emails and forms, and they have several pre-configured HTML templates available. 

Users can design personalised and targeted communications campaigns, with segmentation options to target relevant audiences and a Statistics Dashboard to track email campaign performance. 

Again, this email system should only be used for marketing/communications emails relating to university business.

Important: Please note that when sending emails to external recipients, you must comply with the ePrivacy Regulations as well as GDPR and we recommend consulting with the UCD DPO.  Certain privacy features are available as standard in Mailjet, however you must be aware of the relevant guidelines regarding email marketing.
