Request an IT Project

Request an IT Project

IT Project Planning Process image
Who should I engage with to request an IT project?

Heads of Units/Schools (or their nominee) should engage with IT Services through their existing IT liaison channels for assistance in completing a request to initiate a new IT project. If the IT liaison is not known, please contact our IT Partner at ITPartners@ucd.ie for assistance.

What template is used to request an IT project?

The (opens in a new window)Project Initiation Request Template (authentication required) is used to request an IT project.

The Project Initiation Request has two steps:

Step 1: Requestors complete Business Requests

Requestors complete the Business Request (Section 1 of the Project Initiation Request Template), which includes information on the business need, problem or opportunity and the expected outcomes & benefits.

Step 2: IT Services prepare Solution Proposals

After Business Requests are submitted, IT Services will then liaise with the requestor and prepare a Solution Proposal (Section 2 of the Project Initiation Request Template) to include an estimate of the resources (people and financial) needed to deliver and support the solution on an ongoing basis. Resource requirements should then be reflected in your Unit/School’s Business and Financial Plans.

When should I request an IT project?

Engage with IT Services as early as possible in order to allow time to liaise on ideas.  Please submit final Business Requests for the Academic Year 2025-26 before the 14 February 2025 submission deadline.

Note 1: This deadline ensures that resource and cost estimates are ready by mid-May for Financial Planning.

Note 2: Where project requests are received outside of the standard planning process, IT Services may bring these to the UMT IT Strategy Group for consideration.

What process is followed for the annual IT project planning cycle?

The IT Project Planning Process - Quick Guide provides an overview of the annual IT project planning cycle, which is a strand of UCD Planning. The process is based on PM² Portfolio Management.
