Terms and Conditions for Library Study Spaces
Here are the Terms and Conditions for usage of the UCD Library study spaces.
The below rules are applicable to all study areas within UCD Library, including bookable and non-bookable seats and rooms, UCD Special Collections, and the UCD Archives Reading Room:
All Study Areas
- Bookable rooms and study seats are for study purposes only. Tutorials may not be held in the study rooms.
- Library staff may inspect rooms to ensure regulations are being complied with and may request the occupier to present their identification card and confirmation email for inspection.
- Hot or cold (non-alcoholic) drinks in securely sealed containers may be consumed in most areas of the Library. Liquids are not permitted in the Special Collections or Archives Reading Rooms.
- Food may not be consumed in the Library.
- Smoking and the use of electronic cigarettes and vapes is forbidden in the Library.
- Important: University College Dublin will not be responsible for any loss or damage of goods or property left on these premises by any persons. Such goods or property are left on these premises at owner’s risk.

Study Seat Booking
Terms and conditions:
- Seats can be booked by all UCD Students at Book a Study Space.
- Please keep the confirmation email you receive at the time of booking, as proof of your booking.
- You must check in to secure your booking. Follow the instructions in your confirmation email to check in.
- Bookings are cancelled after 15 minutes if you do not check in. Your seat will go back on the booking system allowing another person to book that seat.
- A maximum of eight hours per day can be booked.
- Bookings can be made up to one week in advance.
- You must arrive at the allocated date and time of your booking and only sit in your allocated seat, as stated in the confirmation email. If you sit in a seat that has not been booked by you, you will be told to find an alternative space.
- Leave your seat promptly when your booking time has elapsed.
Group Study Rooms
Terms and conditions:
- Group Study Rooms can be booked by all UCD students at Book a Study Space.
- Groups must consist of three people or more. These rooms cannot be used for individual video calls, webinars or tutorials.
- Please keep the confirmation email you receive at the time of booking, as proof of your booking.
- You must check in to secure your booking. Follow the instructions in your confirmation email to check in.
- Bookings are cancelled after 15 minutes if you do not check in. Your room will go back on the booking system allowing another person to book that room.
- A maximum of two hours per day can be booked.
- Bookings can be made up to one week in advance.
- You must arrive at the allocated date and time of your booking and only be in your allocated room, as stated in the confirmation email. If you are in a room that has not been booked by you, you will be told to find an alternative space.
- Students registered with the Access & Lifelong Learning Centre may book group study rooms for individual study purposes. Students who use the rooms to study alone must bring along a copy of their letter of registration from the Access Centre to be shown to library staff upon request, either printed or digitally.
Zoom Rooms
Terms and conditions:
- Zoom Rooms can be booked by all UCD students at Book at Study Space.
- You must bring your own device for use in your booked room. Zoom Rooms are for virtual meetings, interviews, and webinars and not intended as individual study rooms.
- Please keep the confirmation email you receive at the time of booking, as proof of your booking.
- You must check in to secure your booking. Follow the instructions in your confirmation email to check in.
- Bookings are cancelled after 15 minutes if you do not check in. Your room will go back on the booking system allowing another person to book that room.
- A maximum of two hours per day can be booked.
- Bookings can be made up to one week in advance.
- You must arrive at the allocated date and time of your booking and only be in your allocated room, as stated in the confirmation email. If you are in a room that has not been booked by you, you will be told to find an alternative space.
- You must leave your room promptly when your booking has elapsed.
Single Study Rooms
Terms and conditions:
- Rooms are available for taught and research postgraduates only. These rooms are not available to occasional students.
- Bookings can be made through SiSWeb > Campus > Book a library study space.
- Only the student who has booked the room is permitted to use it. Your student UCard and confirmation email will be requested by library staff as proof of booking when collecting your key or if the room requires inspection.
- Unless issued to you, library material may not be kept in the study room. Rooms will be checked regularly for such material and if found it will be removed.
- Key holders may be requested to vacate rooms to enable maintenance work to be carried out, or for administrative reasons.
- A non-refundable charge of €10.50 will be made for replacement of lost keys and failure to return your key on time. Late return of key also precludes you from obtaining a room the following week.
- Rooms are allocated on a weekly cycle. A room may be booked for the coming week and a week in advance. Your booking entitles you to the room for that week, depending upon James Joyce Library opening hours.
- Any material left in a room will be cleared by library staff and will be discarded if not collected within two weeks.
- Keys can be collected from the Information Desk on Level 1 of the James Joyce Library during desk service.
- Please return room keys to the Service Desk during Level 1 Service Desk hours by 12.00pm on the following Monday or before, even if you have a confirmed booking for the same room the following week. Keys can also be returned to the red postbox at the Level 2 desk.
- There is a charge of €10.50 for lost or non-returned keys. This will prevent you from being able to borrow books until the charge is paid.
- Users who fail to comply with regulations governing allocation or use of study rooms will forfeit the right to use the room for a period determined by the librarian.
Postgraduate Research Centre
Terms and conditions:
- PRC spaces are available for taught and research postgraduates only. This room is not available to occasional students.
- Bookings can be made through SiSWeb > Campus > Book a library study space.
- Only users with a booking confirmation are permitted to use the space. Access is controlled by an electronic keypad and you will receive the code in your confirmation email.
- The access code is also given to eligible users at the discretion of the librarian, and if using an occupied PC without a confirmed booking, you will be asked to leave the space in favour of someone with a confirmed booking.
- Bookings are made for one week at a time, Monday-Sunday, and are dependent upon James Joyce Library opening hours.
- You must have your student UCard with you and be prepared to present it to library staff if asked, or to show your confirmation email.
- Locker keys can be booked for 1 week at the Level 1 Information Desk. There is a charge of €10.50 for lost or non-returned keys. This will prevent you from being able to borrow books until the charge is paid.
- Casual Bookings are available with the premise that you will vacate your seat if someone with a confirmed booking for that space arrives.
Meeting Rooms
Terms and conditions:
- Meeting Rooms can be booked by all UCD students at Book a Study Space.
- The Large Meeting room (Meeting Room 1) must consist of 6 people or more and Meeting Room 2 must consist of between 3 and 5 people. The Large Meeting room is for practice presentations, meetings and group work. Meeting Rooms cannot be used as an individual study room or for individual video calls, webinars or tutorials.

- You must check in to secure your booking. Follow the instructions in your confirmation email to check in.
- Bookings are cancelled after 15 minutes if you do not check in. Your room will go back on the booking system allowing another person to book that room.
- A maximum of two hours per day can be booked.
- Bookings can be made up to one week in advance.
- You must arrive at your allocated Date and Time of your booking and only be in your allocated room, as stated in the confirmation email. If you are in a room that has not been booked by you, you will be told to find an alternative space.
Sensory Study Spaces
Terms and conditions:
- Sensory Study Rooms can be booked at Sensory Spaces Online.
- Please keep the confirmation email you receive at the time of booking, as proof of your booking.
- You must check in to secure your booking. You can check in by swiping into the room with your student UCard.
- Bookings are cancelled after 15 minutes if you do not check in. Your slot will go back on the booking system allowing another person to book that slot.
- A maximum of two hours per day can be booked.
- A study space slot which has more than 30 minutes remaining can be booked.
- Bookings can be made up to one week in advance.
- You must arrive at your allocated date and time of your booking and only be in your allocated space, as stated in the confirmation email. If you are in a study space that has not been booked by you, you will be told to find an alternative space.
Sensory Transition Space
Terms and conditions:
- Sensory Study Rooms can be booked at the booking terminal at the door, using your student UCard.
- You must check in to secure your booking. You can check in by swiping into the room with your student UCard.
- Bookings are cancelled after 10 minutes if you do not check in. Your slot will go back on the booking system allowing another person to book that slot.
- Multiple slots per day can be booked.
- A slot which has more than 10 minutes remaining can be booked.
- You must arrive at your allocated Date and Time of your booking and only be in your allocated space, as stated in the confirmation email. If you are in a study space that has not been booked by you, you will be told to find an alternative space.
