Submission Checklist and Information

3 months prior to submission: 

❏ Make sure your Registration and Fees are up to date (your SISWeb)

❏ Familiarise yourself with the eThesis Exam System and relevant University (opens in a new window)regulations, policies, and procedures

❏ Know the deadline for thesis submission - thesis submission deadline

❏ Be aware of the embargo procedure (if applicable) and the Research Repository Database ((opens in a new window)RRU). 

❏ Ensure you have completed all necessary taught modules, integrity training module, and requirements for your programme. 

❏ Agree the responsibilities, tasks and  timelines with your Primary Supervisor. 

Week of submission: 

❏ Inform your Primary Supervisor you are ready to upload. You will be contacted by email when your Primary Supervisor grants you permission to submit.

❏ Combine your entire thesis into one pdf file. 

❏ Run final checks and updates to thesis with Primary Supervisor.

Thesis Submission

Check thesis title.

❏ Enter summary of abstract, less than 4k bytes.

❏ Enter 4 keywords, separated by a comma.

Set up your ORC ID, if required.

❏ Select thesis pdf.

❏ Read declaration and submit.

Post Thesis Submission 

❏ If your Exam Committee is approved after you submitted your thesis check with your Primary Supervisor that your thesis has been approved for examination.

❏ If you are awaiting a viva voce date, please contact the Exam Committee Chair. 

Exam Phase 

❏ If you have not received the examination outcome and/or revisions list (if required), please contact the Chair of your Exam Committee. 

❏ If required, you will then plan the timeline for the revisions to your thesis (usually with the Internal Examiner).

❏ Revisions are completed outside of the eThesis Exam system. 

❏ When your revisions are complete submit your revised Final Thesis. You will need to submit a brief summary of your revisions (< 4k bytes).

❑ The nominated Examiner will approve this revised Final Thesis. 

❑ Submit your hardbound thesis to the UCD Student Desk. 

Post Exam Phase 

❏ The Joint Degree report is sent for consideration at the next ACCE meeting. 

❏ The eThesis Exam system sends an automated email to the Student, Chair, Supervisor and Head of School once ACCE has approved the degree. 

❏ You will be granted access to your transcript and award letter after ACCE approves your award. 

❏ You will have access to the Joint Degree Report when it has been approved by ACCE.

❏ Your award is processed by the ACCE support team and your details are shared with the UCD Conferring Unit.
