months settling into a new role can be. Hopefully this guide will be a handy
reference for you and will start you off on the right track.

UCD Research supports a wide range of activity across the research community. Visit our Meet the Team page to see who does what. Below is a summary of the activity across teams:
Office of the Vice President for Research and Innovation (VPRII)
Within this team we have the General Manager, unit admin support and the P.A. to the VPRII, along with specialists across research strategy, culture, policy and public affairs.
Programmes Team
Identify and support pre-award proposal activity across both national and EU funding calls.
Grant Reg Team
Aid in the registration of newly secured funding. Our new mobilization unit within this team help the Principal Investigator and their team in setting up new grants, including assisting in the hiring process and finance planning.
Research Partners
A team of 5 research partners each with their own particular area supporting strategic development across 4 main strategic themes of UCD, which are "Transforming through Digital Technology", "Building a Healthy World", "Empowering Humanity" and "Creating a Sustainable Global Society" and Clinical Research
Research Analytics and Impact Team
Help support and promote UCD reputation both nationally and internationally. They work with researchers and management to build a culture of Impact across the university, and their analytics help inform the overall strategy of the unit and the wider university.
NovaUCD
Support high-tech and knowledge-intensive spin-in and spin-out companies through purpose-built and state-of-the-art facilities, and through comprehensive support programme.
Location of the UCD Research building
UCD Research is located centrally in the main campus overlooking the lake and attached to the main administrative facility, the Tierney building, on one side. The easiest access route to UCD Research is via the main N11 entrance. (Location 50 on campus map)
You can enter the building via revolving doors at ground floor level, or via connecting doors to the Tierney building on the upper level. The building is accessible from about 8am and is locked at around 7pm/8pm. Later opening times can be arranged with UCD Estate Services.
Location of Nova UCD
The Innovation team is located at Nova UCD. The vehicular entrance to Nova UCD is located on Fosters Avenue, approximately 200m from the Stillorgan dual carriageway (N11).
Parking and transport
Parking on campus is notoriously congested, so if you commute by car you should factor this into your journey and arrival times. Generally during peak times arrival after 9am may result in it being difficult to find an available space.
UCD operates permit parking during semester, and you must pay and register your vehicle in advance to avoid being clamped. Only registered permit holders can park in the designated parking spots. Submit your parking permit application here.
There are 2 visitor carparks close to UCD. If you are registered as a permit holder you may be clamped if you park here.

Many of your colleagues have studied and/or worked in UCD for many years and will be happy to take you on a tour of the campus, and to answer any questions you might have about other units, services, and staff in the university.
Safe Campus Initiative
If you are working late and need access to the building after 6pm, please contact estate services. They also offer a safe walk service for employees who wish to be escorted across campus during the darker months.

Currently, UCD Research is operating in a hybrid environment.
The building has a range of shared and single-person offices, which are all bookable using our room booking sheet. Click here to request access to the booking form. All our desks are set up with docking stations and extra screens making it easy to work anywhere.
We also have a new hybrid meeting room with the DTEN Zoom system installed. You can book this via your own calendar by simply adding the room to your booking. Caitriona in room 102 can give you a demo if you need it or you can find out more on the DTEN system here.
Our Phone booth allows staff to make and take private video or phone calls and is available to book.
For those who commute, we have some large lockers available in our staff room. If you'd like access to a locker just let Caitriona know at caitriona.oleary@ucd.ie. Showers are available in the Tierney building at the entrance to the Student Desk.
Our staff room is located on the first floor, and is a great place to sit and relax or take a break.

Follow these steps to get set up in UCD:
1. Personnel number
The initial step in getting established as a UCD staff member is finding out your personnel number or ‘p’ number. The HR staff member who liaised with you during your interview and hiring process should be able to provide you with this. It is important to get this as soon as possible, as it is required for various set-up processes. You should also have it to hand for any expense documentation or payroll queries which may arise.
You should contact HR about this at your earliest possible opportunity, as there may be a 2-3 day wait to receive it. Unfortunately, it is not possible to have your personnel number in advance of your start date.
2. UCD e-mail address
When your ‘p’ number has been activated you can then set up your UCD Connect account. UCD IT Services will send an email to the personal email address you have provided to the University. This email contains your personnel or visitor number. Follow the link in the email to begin the four-step process to set up your new UCD Connect username and password.
Once you have access to UCD Connect, the IT centre will set up your laptop, register it on the network, and give you access to the systems that are approved for you.
3. UCD phone number
Your line manager will have initiated this process in advance of your arrival. If an extension has not yet been allocated to you, contact Caitríona O’Leary to arrange it. To activate your phone, you need to get your telephone password which you will find on Infohub under My Profile > View Telephone Password. You should also download the Avaya Phone app to your laptop so that you can make and receive calls without having a physical desk phone.
4. Laptop and software set-ups
When you receive your new laptop from UCD, our IT services team will set you up. Click here to make an appointment with our IT set-up team. Don't forget to register your laptop on the network so you can use the wired connections on campus, Instructions for registering your laptop can be found here
Microsoft suite of products, Adobe, Novell client and Sophos can be downloaded from UCD Connect (log in and click on the ‘software download’ link found in the centre of the home screen). All employees also have a Microsoft Office 365 account, which can be accessed at login.microsoftonline.com.

Premium Zoom accounts can be requested via the home page on UCD Connect.
We use Basecamp for project management and cross-team communication.

5. Stationery
Stationery is found in the cupboard on the Mezz area. Shredding and recycling facilities are also available here. If you need additional supplies, please ask Caitríona O’Leary who will order them for you.
Mandatory ‘Data Privacy and Security Training’ on Brightspace
Every member of the UCD Community, who processes personal data in the context of their UCD role, needs by law to undertake this UCD Data Privacy & Security Training. UCD provides online training for faculty and staff on personal data processing and how to use these data securely in a digital environment. A step by step guide on how to access this training is available here.
Once you have completed the training, please record your training completion date on the Google Form .
Please note that mandatory ‘Data Privacy & Security’ training on Brightspace is to be renewed every 2 years.
Data Subject Access Requests (DSARs)
Under data protection legislation individuals, whose data is processed by an organisation, can exercise certain rights, and UCD is required to enable them to do so.
If you wish to request Data Subject Access or if you receive any Data Subject Access Requests (DSARs), please follow the process outlined in the Data Subject Access Requests (DSARs) Section on UCD GDPR website.
Data Breaches and Reporting
What is a personal data breach? A personal data breach means a breach of security leading to the accidental or unlawful destruction, loss, alteration, unauthorised disclosure of, or access to, personal data. (See the Data Breaches and Reporting Section of UCD GDPR website for further information)
If you think a personal data incident or data breach has occurred in UCD Research, you need to act promptly, as time is of the essence.
Where onward reporting of a breach to the DPC is required, UCD has in total only 72 hours to do so from the time UCD becomes aware of the breach. Any late reporting has the potential to result in sanctions and/or fines.
Third Party Service Providers:
If you are engaging with any non-centrally provided third parties to provide a service or product (including software in the cloud), you need to carry out required due-diligence checks prior to selecting the provider. Further details can be found on the GDPR Website.
In addition, you will need to ensure that UCD Research has a signed Data Processing Agreement (DPA) with the third party service provider.

Using the shared desks in UCD Research
Each Desk comes equipped with a dock which is connected to the wired network, a keyboard and mouse and screen. The docking stations also charge your laptop so there is just one lead to plug into and you are good to go. All laptops using the wired internet connection need to be registered on the UCD network, go to the getting set up section to find out how to register your laptop if you haven't done so already.
Phones:
All of the phones in UCD are soft phones - which means you can use the handsets on the desk or the Avaya App on your laptop to make and receive calls.
To use the phone on your desk you login using your extension number for the username and your extension's password. There is no need to move phones if moving office location. You can view your phone's password on Infohub under My Profile and clicking on View Telephone Password. Don't forget to logout of your extension number by selecting the Menu icon / Applications / Log out before you leave

Annual leave
Sick leave
The UCD sick leave policy can be found here. Please familiarise yourself with the paid and unpaid sick leave policies. On your return you will need to log your sick leave with the General Manager by completing the Google Form and attaching your sick cert.
Travel and conferencing
All attendance and travel mist be approved by your manager. When you have your travel plans contact Caitriona O'Leary who can help you book and pay.

Meeting spaces
You can book the Research Boardroom, Impact Room and Phone Booth using our shared calendar or by contacting Caitriona O'Leary.
Our Mezzanine desks are free to use when available and offer a quiet space to read or take a short call.
Google Drive
Google Drive is our storage preference and should be used when sharing and storing files.
