Policies and Forms

There are several academic policies which students should be aware of and which you may need to consult during your time at UCD. On this page you can find the most common and requested policies and forms from our School, the Arts and Humanities Programme Office as well as UCD. Please read this page carefully.

Assignment Submission Form

The submission form is for all languages (GER, FR, SPAN, ITAL, PORT), Linguistics, SLL and Humanities. The assignment should be dropped in the pigeon hole of your module coordinator or tutor. Pigeon holes are located opposite the seminar room (D301) in Block D, 3rd floor, Newman Building.

Late Submission of coursework

Ensure that you have checked the School’s procedures for the submission of assessments. Note: There are penalties for the late submission of assessments. For further information please see the University’s (opens in a new window)Policy on Late Submission of Coursework.

Please note: Students who are unable to meet the deadline should approach the Module Coordinator and ask for an extension, providing satisfactory reasons. Students should fill out the form, which needs to be signed by the Moduel Coordinator and attached to the assignment – no penalty to be applied here.

Plagiarism Policy

Plagiarism is the unacknowledged inclusion of another person’s writings or ideas or works, in any formally presented work (including essays, examinations, projects, laboratory reports or presentations). The penalties associated with plagiarism designed to impose sanctions that reflect the seriousness of University’s commitment to academic integrity. The Arts and Humanities Programme Office provides a range of support services to students registered to the BA programmes. The Programme Office is located on the ground floor of the Newman Building on the main AD concourse. Extenuating Circumstances Applications (UG)

Extenuating circumstances are serious unforeseen circumstances beyond your control which may prevent you from meeting the requirements of your programme at a particular point in time. Please note that there are different procedures for Undergraduate, Graduate Taught and Research students in the college of Arts and Humanities. The Programme Office is only responsible for application made by undergraduate students. You can find the Policy under UCD Policies and Forms below.

Time Conflict Over-ride Form

  1. Where time conflicts arise on a student’s registration due to repeat module pre-registration, the ONUS IS ON THE STUDENT to resolve this time conflict.
  2. Permission to over-ride a time conflict is at the discretion of the relevant Repeat Module Coordinator/School, and may be refused.
  3. When applying for any such permission, the student should bring a copy of this form to any meeting to discuss time conflict over-ride.
  4. If permission is refused, students should be aware that they will have to drop a module from their Semester 1 or Semester 2 registration to take the repeat module to resolve the time conflict.
  5. It is recommended that priority is given to repeat modules.
  6. The completed form should be brought to the Arts & Humanities Programme Office by the student for processing.

Manual Registration Form

It is the students responsibility to register correctly and to ensure that the required number of credits are reached. Students should also check that the subject requirements in terms of core, option and pre-requisite requirements are fullfilled.

Extenuating Circumstances Policy

Students are expected to meet the academic demands of their chosen programme. However, they may experience a range of serious and unanticipated difficulties, which adversely affect their ability to study, complete assessments or attend their required classes and other learning activities. The Policy on Extenuating Circumstances provides a framework through which Boards of Examiners may take these difficulties into account in a fair and equitable manner, establishing key principles and outlining the process to be followed.

A Leave of Absence enables you to take an approved and specified period of time away from your programme.

Programme Transfer

If you are currently or have previously attended a third-level institution, you are considered a transfer applicant. If you are from the EU/EEA please use the links below for criteria and application procedures. Non-EU students please visit the International Office.

Recognition of Prior Learning

UCD encourages lifelong learning and provides the opportunity for prior learning to be recognised. The purpose of the Recognition of Prior Learning Policy is to facilitate Programme Boards as they seek to support students and prospective students. Students can apply to have prior learning recognised for the purposes of admission into a UCD programme of study, or credit applied towards a UCD programme of study, or transfer into or between UCD programmes. The Recognition of Prior Learning Policy, and all supporting documentation, applies to all UCD programmes at undergraduate and graduate levels.

Withdrawing from a Programme

If you are not continuing with your programme, you must complete and submit an official Withdrawal Form. Since August 2016, this form is now completed online and can be accessed via (opens in a new window)SISWeb, Programme Services and ‘My Leave of Absence/Withdrawal Requests’.
